Accessible PDFs from
Microsoft PowerPoint
Slides can be fully accessible — if every slide has a title, a sensible reading order, and alt text.
Build the slides accessibly
- Use the built-in slide layouts instead of drawing text boxes by hand.
- Give every slide a unique title (use an off-slide title if you don’t want it visible).
- Open Review › Check Accessibility and use the Reading Order pane on busy slides.
- Add alt text to informative images, charts, and diagrams.
- Don’t leave essential content only in speaker notes — the PDF may not include them.
- For dense lectures, offer an accessible Word or HTML handout too.
Export a tagged PDF
- Choose File › Export › Create PDF/XPS Document › Create PDF/XPS.
- Select Options.
- Enable “Document structure tags for accessibility” and choose the slide range and layout you want.
- Publish, then verify slide titles, reading order, alt text, and links in the PDF.
Then verify the result
